An invoice has its significance in accounting process.  An invoice is an instrument of transaction, for money transfers, between the seller or service provider and the purchaser. The law requires particular information on the invoice, especially if the business unit is a VAT registered, sole trader or limited company. A limited company should include on its invoice, the full name of the company exactly as on the certificate of incorporation as well as business name if any, and the address for the delivery of legal documents. A sole trader’s invoice must contain the trader’s name or business name, and address.

In addition to this, a VAT registered company should also provide on the invoice, the VAT registration number, rate of VAT per item, total owing VAT amount without VAT added, and total VAT amount. In case, the customer is a non-VAT registered company, the seller should pay VAT. If the customer is a VAT registered company in European Union, the invoice must also include the customer’s VAT number including the country’s prefix, proof of transport of goods within three months or six months including processing time, valid commercial evidence of removal of goods within the time limit with details of supplier, transporter, customer, goods and accurate value, mode and means of transport, and EU destination. Any deviation would burden the seller, liable to pay VAT.
